Job Summary

The Assistant Facilities and Security Manager is responsible to the Head of the Security and Facilities Unit within the Administrative Services Department for assisting with the managing and directing of facilities operations and building security for four of the University of Georgia Libraries’ facilities: Main Library, Science Library, Library Repository, and Thomas Textiles Warehouse. Job duties include planning, coordinating, and monitoring building maintenance and projects through the Facilities Management Division (FMD) and other outside contractors, placing work requests for building issues, and preparing areas for renovation and/or relocation. This position also has responsibilities for building security, including scheduling and monitoring alarm systems, security cameras, and other related systems. In the absence of the Head of the Security and Facilities Unit this position manages the Unit; problems that fall outside the normal range of policies and procedures are referred to the Unit Head.

The standard work schedule for this position is from 10:00 a.m. to 7:00 p.m., Monday thru Friday. In the absence of the Head of the Security and Facilities Unit the work schedule will be modified as necessary. Occasional night and weekend work is required, as well as the ability to be recallable for duty within 30 minutes as needed.

Emergency situations are handled using sound judgment and following prescribed guidelines. This position requires self-motivation and sound judgment to be exercised. Work is performed independently, subject to periodic review and requires the use of considerable independent judgment and the acceptance of considerable responsibility.

Duties and Responsibilities

20 *Manages day-to-day operations of the student security workforce for the Main and Science Libraries. Communicates with all student employees regarding issues and changes that they need to be aware of. Addresses issues in procedures and policies to promote a secure environment for all areas within both Libraries buildings that are open to the public.
20 *Assists the Head of the Security and Facilities Unit in all areas of renovation and relocation projects through the Libraries facilities by moving furniture, surplusing items, prepping areas, and arranging alternative spaces during these processes.
15 *Serves as the training coordinator for student security assistants for the Main and Science Libraries. Prepares and updates training manual and procedures as needed. Addresses issues in performance of procedures as problems arise.
10 *Assists the Head of the Security and Facilities Unit in the hiring process by posting jobs, reviewing applications, scheduling interviews, interviewing, and assessing prospective employees.
5 Assists in monitoring the maintenance of the furniture, utilities, computers, and signage of the facilities and helps to resolve problems concerning facility usage, operations, equipment malfunction, etc., by assisting the building custodial staff, Facilities Management Division personnel, off-campus vendors or maintenance personnel.
5 *Maintains security staffing schedule and alternations to ensure that students are aware of any scheduling changes. Employee is also available to work shifts in the event that no one is able to meet schedule requirements. Non-business hours may also need to be worked in case of special circumstances.
5 *Responsible for daily monitoring and bi-weekly completion of payroll for the student workforce and ensuring that all students are staying within their hours depending on their statuses.
5 *Serves as the liaison with the UGA Police Department in reviewing and creating video surveillance footage when requested.

Maintains flexibility and awareness of changes and needs in security and facility management by assuming similar duties and responsibilities as assigned to facilitate the workflow throughout the department.

Maintains a positive work relationship throughout the departments of all library facilities.

Assists with the daily building schedule and usage by monitoring and programming the security system when needed.

Participates in emergency preparedness program for all library facilities by reviewing and implementing procedures for emergency situations particularly weather-related emergencies and medical emergencies.

5 Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE (the Libraries’ listserv) and other communication tools, as well as appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.

 

Qualifications

Requires technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.

Excellent oral and written communications skills.
Ability to work effectively in a security sensitive position of considerable responsibility in a large facility.
Basic knowledge of UGA building operations and support.
Knowledge of security-related practices and procedures.
Demonstrated ability to supervise.

Preferred Qualifications

CPR and First Aid certification preferred;

Valid driver’s license preferred;  

1 year supervisory experience preferred.
