Job Summary

The ILSM Maintenance Specialist II is responsible to the Head of ILS Management for performing the routine processing, troubleshooting and cleanup tasks of the section, including materials transfers and withdrawals, correcting coding errors in holdings and item records and participating in the day-to-day workflow of physical materials through the Cataloging Department. Utilizing their knowledge of the library system, available analytic tools and cataloging practices, this position verifies, creates, corrects, and maintains record data in OCLC, Alma, and the Libraries’ shelflist catalog in response to materials sent to the section for investigation, and as assigned by the Section Head. 

This position will monitor the Section’s LibAnswers ticketing queue, acting as an initial point of contact and resolving or directing tickets as needed.

Members of ILSM assist the Section Head in testing, troubleshooting and documenting new features and system errors in the ILS. The section is often needed to communicate technical information to non-technical staff members, as well as explain cataloging rules and Department policies and procedures to non-catalogers. ILSM members assist in the hiring and training of section staff. Continuing skills development is a feature of all positions in the Section.

Activities and decisions are varied in nature, necessitating independent action and judgment in solving common problems. Unusual cases or questionable matters are resolved with this position’s supervisor or other appropriate positions. Occasional travel to the Repository, Science Library or other on-campus associated research facilities may be necessary.

Duties and Responsibilities

25 * Resolves problems related to material submitted by Access Services and other staff members. Verifies location, holdings, and item status information by investigation and communication with other library staff.
25 * Manages the physical processing of materials including location transfers and withdrawals.
20 * Performs catalog cleanup tasks as identified by reports supplied by Section Head, investigates errors, and makes appropriate changes in OCLC, Alma, and the shelflist catalog.
15 * Serves as the primary point of contact for the Section’s ticketing queue, responding or routing tickets as needed.
10 * Assists Section Head in testing, troubleshooting and documenting new features and system errors in the ILS.

Participates in the formulation of new routines, policies, procedures, and goals of the Section by making recommendations to the Section Head that will enhance and streamline the work of the Section.

Maintains Section staffing by making recommendations on hiring decisions as well as by assisting the Section Head in supervising and providing evaluation input for staff.

Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE (the Libraries’ listserv) and other communication tools, and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.

Maintains flexibility and awareness of changes in the Department and Libraries by assuming other similar duties and responsibilities as assigned.

 

Qualifications

Requires technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.

Knowledge, Skills, Abilities, and/or Competencies

Working knowledge of standard library systems and in-depth application of specialized library systems

Ability to perform routine tasks accurately with close attention to detail 

Working knowledge of monographs, serials, bibliographic principles and acquisitions, access services and/or cataloging procedures

Knowledge of basic computer technology and its software applications as they relate to library operations 

Ability to establish and maintain effective working relationships

Effective oral and written communication skills 

Ability to effectively work on deadline-oriented projects within a team structure

Preferred Qualifications

Experience in working with bibliographic data for cataloging purposes and familiarity with Ex Libris Alma, the OCLC system and Microsoft Excel  

Skill in language use and knowledge of one or more foreign languages
